DACHSER: Centric Employee File and Payslip Box for speed and cost savings in HR

Implemented solutions:

Becoming more efficient and meeting the requirements of modern day-to-day HR work - the global logistics company DACHSER has taken this step, digitized its personnel files and created an integrated solution consisting of SAP SuccessFactors and the Centric Employee File digital personnel file. The Centric Payslip Box is also in use and saves the company four-figure postage costs every month.

Without the pandemic, many companies in Germany would not yet be as digitized as they are today. The long-established Kempten-based company DACHSER also suddenly realized how restrictive it is when important personnel documents are only available in paper form, but employees are sitting in their home offices. In spring 2023, the topic was therefore taken up and a project team was formed to finally complete the digital transformation in HR successfully.

Requirements analysis: What does a modern personnel file need?

First of all, the project team wanted to know what needs and expectations the stakeholders of an HR organization have of a digital personnel file. Simple and clear operation was at the top of the wish list, while data protection compliance and location-independent access were also crucial.

The project team became aware of Centric at „DSAG-Personaltage“ , the most important trade fair for SAP user companies that use HR solutions from Walldorf. After carefully evaluating other providers, the decision was finally made to introduce Centric Employee File. The implementation was to take place in parallel with the introduction of SAP SuccessFactors. The decision to merge both projects had strategic reasons. Connecting Centric Employee File first to the local payroll system and then later to SAP SuccessFactors would have meant double the effort, which the company wanted to avoid.

Centric Employee File enables individual customization

In spring 2024, Centric Employee File was fully set up for the locations in Germany. At the customer‘s request, Centric supplemented the standard functions with some individual adjustments, including the adaptation of roles and functions, the implementation of the dual control principle when deleting documents and the way in which authorizations from SuccessFactors apply to data access.

Only then did the scanning process of the 19,000 personnel files in Germany begin, which was successfully completed in spring 2025. During this time, the digital documents were successively and automatically transferred to the new personnel files via a secure SFTP server. The project team created two ways for HR specialists to access files: via quick access using a button on the SuccessFactors homepage or via the direct jump in the employee profile in SAP SuccessFactors.

„The SuccessFactors integration works extremely well and has been very well received by our HR specialists. They only have to search for a person once in SuccessFactors and can then jump directly to the file to upload documents, for example,“ says Christina Scheidt, in-house lawyer in the Corporate Human Resources department at DACHSER SE.

The time saved in the day-to-day work of the HR department through full-text searches and location-independent access to documents is considerable.

The role and authorization concept enables better and more transparent control of access to personnel files and the logistics company complies with all data protection requirements by adhering to defined deletion deadlines.

Centric Payslip Box: Digital payslips for everyone

DACHSER also implemented the Centric Payslip Box in parallel with the introduction of the digital personnel file. Christina Scheidt:

“Their purpose is as simple as it is ingenious: we minimize the mailing of payslips and provide our employees with digital access to their remuneration statements. This saves around 5,000 euros a month in postage.”

Previously, only commercial employees at were able to view their statements digitally via Employee Self Service, while commercial employees without system access and their own DACHSER email address continued to receive them by post.

Centric Payslip Box now enables digital access for everyone, regardless of system access. Centric has also made a customer-specific adjustment here. This concerns the automation of document transfer to the Payslip Box, which now takes place regularly at the end of the month. In addition, the Payslip Box is to be further optimized to make document transfer even smoother.
